Terms and conditions
The contract between you and Nordvik, in plain words. Read it before you pay a deposit.
1. Who we are
These terms are the contract between you and Nordvik Expeditions ehf., Hafnarbraut 14, 780 Höfn, Iceland (registration number 540119-1230), referred to as “Nordvik”. They apply to every expedition on this site. By paying the deposit you accept them on behalf of everyone in your booking.
2. Booking and payment
A booking is confirmed when we receive a 20% deposit and send you a written confirmation. The balance is due 60 days before departure. If you book within 60 days of departure, the full price is due at booking. Prices are in euros and include Icelandic VAT where it applies.
We hold a place for 14 days after we send you a quote. After that, the place may be offered to others.
3. What the price includes
The price is for the items listed under “What is included” on the expedition page, and nothing else. Optional extras, single supplements and kit hire are priced on the page and on your confirmation.
4. If you cancel
You can cancel at any time by writing to us. The charge depends on how many days before departure we receive your notice.
| Cancelled | Charge, as a share of the price |
|---|---|
| More than 90 days | Deposit (20%) |
| 89 to 60 days | 40% |
| 59 to 30 days | 60% |
| 29 to 15 days | 80% |
| 14 days or fewer | 100% |
You may name another person to take your place until 30 days before departure, free of charge. After that, a fee of €50 applies plus any costs we cannot recover.
5. If we cancel or change
If fewer than four guests have booked 45 days before departure, we may cancel and refund everything you have paid. If weather, ice conditions, volcanic activity or safety make an itinerary unsafe, your guide may change it, and we will tell you why. If we cannot run a trip at all, you can choose a different date or a full refund.
We do not refund for parts of an itinerary that cannot be run for reasons outside our control, but we will offer an equivalent day wherever we can.
6. Insurance
Travel insurance that covers medical costs, evacuation and cancellation is compulsory. We need to see the policy before you travel and may refuse boarding if you do not have one. See the planning page for the minimum cover.
7. Health and fitness
You must tell us about any condition that could affect you or the group, including heart conditions, pregnancy, injuries and allergies. You must be able to complete the fitness level stated for the expedition. The guide has the final say on whether a guest can take part in an activity on the day.
8. Safety and conduct
Guides make the safety decisions. Please follow their instructions on ice, rivers, boats and roads. We may ask a guest to leave an expedition without refund if their behaviour endangers themselves or others.
9. Liability
Adventure travel in remote areas carries risks, including injury and, rarely, death. We take reasonable care and carry liability insurance, and nothing in these terms limits our liability for death or personal injury caused by our negligence. We are not responsible for loss of personal items or for delays caused by airlines, weather or the authorities.
10. Photographs
We may take photographs on expeditions. If you do not want to appear in our pictures, tell your guide, and we will not use them.
11. Law and complaints
These terms are governed by Icelandic law. If you have a complaint, tell your guide at once so that we can try to put it right. If it cannot be resolved on the trip, write to hello@nordvik.example within 28 days of your return. Disputes may be taken to the Icelandic Consumer Agency or the District Court of East Iceland.
